Overview


SeniorInsight can be set up so that some users only see the residents assigned to them, instead of all residents in the facility.


This is commonly used for outside providers and partners, such as:

  • Physicians

  • Case managers

  • Other external care providers


When this setting is used, the user will only see residents connected to their contact record.


When This Is Used


This feature is helpful when a person needs access to SeniorInsight, but should not have access to every resident in the building.


Examples include:

  • A doctor who should only see their own patients

  • A case manager who should only see the residents they follow

  • An outside provider with limited visibility


How It Works


Each user account can be connected to a contact record in SeniorInsight.


Once that connection is in place, the system checks which residents are assigned to that contact and shows only those residents to the user.


If no contact is linked to the user, the user continues to see residents normally.


What the User Will See


After a user is linked to a contact:

  • They will only see residents assigned to that contact

  • If a new resident is later assigned to that contact, the user will also be able to see that resident

  • If the user is no longer linked to a contact, they will return to seeing the normal resident list


If a user is linked to more than one contact, they will see all residents assigned across those contacts.


How to Set It Up


An administrator can manage this from the Master Contacts area.


Steps

  1. Go to Clinical > Master Contacts

  2. Find the contact you want to use, such as the doctor or case manager

  3. Click the Address Book / Users icon for that contact

  4. A window will open showing active users for the facility

  5. Check or uncheck the users you want linked to that contact

  6. Save your changes


What Happens Next


Once the link is saved:

  • The selected user will only see residents assigned to that contact

  • Changes take effect the next time the resident list is loaded

  • No additional setup is needed as long as the resident is already assigned to that contact


Important Notes

  • This restriction applies to the resident list

  • Other parts of the system may not use the same limitation

  • Users can be linked to more than one contact if needed

  • This setup should be reviewed carefully for outside users to make sure they only see the residents they are supposed to access


Best Practice


Use this feature for users who need limited access based on the residents they are responsible for, rather than full facility access.
